1. Who we are
UnitBuddy is a product of DL Building Management Pty Ltd. This policy explains how we collect, hold, use and disclose personal information when you use unitbuddy.com.au, the UnitBuddy application, and related services.
It forms part of our Terms and Conditions.
2. What we collect
Contact details you give us, including name, email address, phone number, role, building name, address, state, lot count and messages, for example when you request a guided tour.
Account details if you register, including email, login identifiers and building membership.
Building records you or your committee upload or enter, which may include owner names, lot details, notices, financial figures, documents and correspondence.
Technical and usage data, including pages viewed, device type, approximate location derived from IP address, and diagnostic logs.
Session analytics. We use PostHog to understand how the site and product are used. This may include page views and session recordings.
Phone number is optional on the tour form. Email is required so we can reply.
3. How we collect it
Directly from you through forms, email and product use. From other authorised building members who invite you or enter records. Automatically through the site and application.
4. Why we collect it
To respond to tour and sales requests. To provide, operate and improve the UnitBuddy platform for your building. To secure the service and prevent abuse. To meet legal and accounting obligations. To produce anonymised benchmarking with a k-anonymity threshold of at least five buildings, which you may opt out of in product privacy settings.
We do not sell personal information.
5. Who we disclose it to
Service providers who host, analyse or operate the platform on our behalf, including website hosting and PostHog analytics. Authorised administrators in your building, to the extent the product is designed to share records inside the scheme. Professional advisers, or others, where the law requires it.
6. Overseas disclosure
Some providers store or process information outside Australia, including in the United States. We take reasonable steps to ensure those providers handle personal information in a way that is consistent with the Australian Privacy Principles.
7. Storage and security
Data is hosted on cloud infrastructure with encryption in transit and at rest. No method of electronic storage is completely secure.
8. Access, correction and deletion
You may request access to, or correction of, personal information we hold about you by emailing sales@unitbuddy.com.au. You may export personal data from account settings where that feature is available. After account deletion we remove personal data according to our retention policy, with a 30-day reactivation window. Anonymised aggregated benchmarking data may be retained.
9. Complaints
Contact us first at sales@unitbuddy.com.au. If you are not satisfied, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.
