What's new
Every update we ship to UnitBuddy, newest first. Many of them started as a request from a committee.
- Finances
Contract register
Finances → Contracts keeps the building's service contracts in one place, so none of them quietly rolls over. UnitBuddy records the dates and terms you enter; it doesn't interpret the contract.
- Cleaning, lift, fire, gardening, the strata management agreement and any other contract, with its supplier, term, price, price increase terms and the contract PDF
- The notice deadline is worked out from the end date and notice period you enter, and the committee is reminded 90 and 30 days before it
- Retender this creates a work request from the contract's scope and opens the quote request, ready to send to contractors
- A contractor's page lists their contracts with the building
- Finances
Utility bills
Finances → Utilities tracks the building's electricity, water and gas bill by bill, and warns the committee when usage goes up. A jump in water use is often a hidden leak.
- Upload a bill or file one from the building inbox, and AI suggests the usage, period and cost for you to check and confirm
- Each confirmed bill becomes a utilities expense in Transactions
- Usage per day is compared with the same period last year and the last three bills; any increase alerts the committee and the building manager
- An Analysis tab shows the last 12 months' cost, the change on the year before, cost per lot and a projection, with cost by quarter, year on year, unit rates, supply against usage charges and a split by meter
- A plain-English summary of what changed, such as usage flat but the rate per kWh up
- Get new quotes sends electricity or gas suppliers a usage profile from your last 12 months of bills, through the contract's Retender when one is on file
- Charts of usage and cost over time, per meter, and you can name each meter
- Building
Where you could save
Building Health now shows the categories where your building spends far more per lot than similar buildings, with the typical cost and the yearly difference.
- Only categories in the top quarter are shown, so you see the ones worth retendering
- A comparison only appears once at least 10 similar buildings have figures for that category
- Start a tender opens a work request for that service
- Peer comparisons no longer count a building with no spending in a category as $0, and a figure is hidden when too few buildings contribute, so no building's numbers can be worked out
- Communicate
Polls
Ask owners what they think before anyone drafts a motion. Polls are non-binding and aren't a vote under strata law.
- Yes, no or unsure; pick one; or pick any, with a closing date
- One answer per lot; an owner with several lots answers once for all of them
- The committee sees the totals, and owners see them after the poll closes unless the committee turns that off
- Polls can be fully anonymous, and can include tenants, counted separately
- Turn a closed poll into a motion at an upcoming meeting
- Members
Handover pack
When office bearers change, the new treasurer, secretary or chair gets a briefing built from the building's records, as a page and a PDF.
- Open work requests, deadlines in the next 90 days, decisions and meetings from the past year, contractor spend, fund balances and conversations waiting on the strata manager
- Open it from the Members page, or from the notification someone gets when they become an office bearer
- Read-only committee members can open it too
- Members
Welcome pack
New owners and tenants get a welcome email and page when they're given a lot: the committee's note, building information, who to call, and a plain-English summary of the by-laws.
- Turn it on and choose what to include in Building settings → Welcome pack
- AI drafts the by-law summary, and residents only see it once the committee approves it; the registered by-laws always prevail
- Only owners see the strata manager's contact
- It's sent once, to people who join after it's switched on
- Building
QR codes on assets
Print QR stickers for the pump room, fire panel, lift motor room and more. Members who scan one see the asset and can report a fault; contractors sign in and out.
- Print a sheet of stickers from the facilities list or a facility's page, and replace a code if a sticker is misused
- Contractors pick their company, sign in for the service they're doing, and sign out with a note
- A service set to need a site visit raises a missed-service exception when no visit is logged in time; missed fire safety services are high severity
- Each facility shows its site visits
- Records
Meetings
Records → Meetings keeps every AGM, EGM and committee meeting in one place, with its motions and how each one went. Your strata manager still runs general meetings and counts the votes; UnitBuddy records the result.
- Add a meeting, upload its notice and minutes, and list each motion with its category and resolution type
- Record results records each motion as carried, defeated, carried as amended, or withdrawn, with the for, against and abstain counts from the minutes
- Each motion becomes a decision once it has a result, and links back to its meeting
- Committee meetings also record who attended or sent apologies, and other agenda items
- Fix a motion's wording or add detail at any time; every change is kept in its history
- Search, filter and sort meetings, with a summary of each one's motions
- Mark a motion committee only to keep it from owners
- Work requests
Quote amounts are kept, and you can select a quote
A quote's amount used to be lost once it was uploaded. Each quote on a work request now shows its amount, and the committee can mark the one they've chosen.
- The amount you enter with a quote is saved on the quote
- Select marks a quote as the chosen one and sets the request's estimated cost to its amount
- Selecting a quote doesn't approve the spend; that still goes to the committee
- Email inbox
Google Groups emails reach your building inbox(Thank you Dana)
You can now add your building's inbox address to a Google Group. Invitations and group emails used to be mistaken for newsletters and filed as spam.
- Google Groups invitations arrive, so the committee can accept them from UnitBuddy
- Group emails are no longer filed as spam
- Group emails that don't come from a committee member land in Unfiled for the committee to check
- Records
Committee training tracker for NSW
NSW committee members appointed from 1 October 2026 must finish the Fair Trading committee course within 3 months, or they automatically leave the committee. Fair Trading doesn't tell the building who has finished, so Records → Committee Training keeps the building's own record.
- Each committee member's appointment date, deadline, status and completion date in one list
- Committee can record a completion, upload the certificate and set the AGM date as the appointment
- Committee members can upload their own certificate
- People appointed before 1 October 2026 show as Not required until they're next appointed
- Only shows for NSW buildings
- Building
A photo of your building(Thank you Paul)
Committee members can add a photo of the property, so members recognise their building at a glance.
- The photo replaces the building icon in the sidebar and on the dashboard greeting
- Add, replace or remove it in Building settings → Building information
- New buildings get it as an optional step in Finish setup
- Buildings without a photo keep the standard icon
- Navigation
Strata news in the sidebar
The latest strata news for your building's state now sits in the sidebar, so you can keep up without leaving UnitBuddy.
- The four newest articles from your state's page on unitbuddy.com.au show above your account menu
- Communicate → Strata news opens your state's full news page in a new tab
- SA, ACT and NT buildings share one news page
- Navigation
Quick links in the sidebar(Thank you Paul)
Adding people and putting them on lots was hard to find. A new Quick links section at the bottom of the sidebar does both from any page.
- Add a member sends an invite and can assign their lot in the same step
- Assign member to a lot picks a lot and an existing member to own it
- Office bearers, committee members and building managers see Quick links
- Finances
Quarterly levy notices
Self-managed buildings can now issue each lot's levy notice from UnitBuddy. A new Levy notices button on the Finances page creates a notice for every lot in a period and files it to the lot, so owners find it in My Lot.
- Each notice shows the lot's owner, entitlement, admin and reserve fund levies, arrears and total due
- Amounts start from the year's levy schedule and can be changed lot by lot before you issue
- Owners only ever see their own lot's notice; the committee sees them all
- A lot can't be sent a second notice for the same period
- Document templates → Levy statements sets the wording, notes and the building's bank details and payment reference
- Building settings
Custom menu for each building(Thank you Trevor)
Not every building uses every part of UnitBuddy. A new Menu tab in Building Settings lets you turn off the pages your building doesn't need, so everyone sees a shorter, simpler menu.
- Each page has its own switch, grouped the same way as the sidebar
- Pages you turn off disappear from the sidebar, search, the mobile menu and the dashboard for everyone in the building
- Links in notices, emails and notifications still open a hidden page
- Turning a page on never gives anyone access their role doesn't already have
- Office bearers, committee members and building managers can change the menu
- Email inbox
Forwarded emails and Gmail conversations are read whole
When you forward an email chain to your building inbox, every message in it now reaches the AI, so no vote or reply gets lost.
- Forwarded chains (Fwd: from Gmail, FW: from Outlook) are kept whole instead of being cut back to the latest reply
- Gmail's "Forward all" is recognised as a forward, so the whole conversation is read, not just its header
- Every vote in a forwarded thread is counted, where before only the last one was
- A conversation's overview is rewritten once its email has been analysed, and for forwards it reads the messages inside
- Senders in quoted Outlook and Gmail replies are picked up correctly, and an attachment with no name no longer stops the email being filed
- Help
Help guides are live
New help files are published on the UnitBuddy help site. The Help item in the account menu now opens it in a new tab.
Open the help site - Email inbox
Unread tracking and better attachments
Your building inbox is easier to scan and no longer loses files.
- Unread conversations show in bold; a conversation is marked read once you've had it open for a second
- A progress indicator shows while an email is analysed and its overview is written
- Every page of an email's attachments is now fetched, and attachments we missed earlier have been backfilled
- Gmail attachments are no longer mistaken for signature images, and inline images of 15 KB and up are kept
- Members
Read-only committee members(Thank you Dana)
A new Committee Member (read-only) role lets someone sit on the committee and see what's going on without being able to change anything.
- They see everything an owner sees, and nothing they do can change building data
- Office bearers and building managers choose which committee areas each one can view: members, building settings, all work requests and full lot records
- Read-only members can't promote themselves; only office bearers and building managers can change their role
- With members access, they can open the Members page; inviting and managing members stays with managers
- Email inbox
Building email inbox
Every building now has its own inbox address. Email sent to it lands in UnitBuddy, where the committee can read, reply and file it.
- AI files each email against the right record (requests, compliance, operations and more) and links the two ways
- Replies, a timeline and a files tab on every conversation
- Mark conversations Done; they are also marked Done automatically over time
- Searchable classification pickers, with invoice, quote and report event types
- A welcome guide conversation is added to every building's inbox
